TRADING AT ZAMBEZI FEST 2026 – ARTS, CRAFTS & RETAIL STALLHOLDERS

Following the tremendous success of last year’s Zambezi Fest, which saw strong footfall, high visitor engagement, and excellent trading results for independent makers and retailers, we are pleased to invite applications from arts, crafts, and retail stallholders for Zambezi Fest 2026.

Zambezi Fest is a UK-based cultural and music festival inspired by Southern African energy, creativity, and community. Our audience actively engages with unique, handmade, ethical, and original products, making the festival an excellent trading opportunity for artists, makers, designers, and independent retailers.

STALLHOLDER APPLICATIONS

All stallholders wishing to sell arts, crafts, merchandise, or retail items at Zambezi Fest must complete the official Stallholder Application Form. This allows the festival organisers to review your products, setup requirements, and operational details.

Submission of an application does not guarantee a pitch. All applications are reviewed to ensure a diverse, balanced, and high-quality trader offering across the festival site. Stall bookings will only be confirmed once approval has been granted by the organisers.

STALLHOLDER REQUIREMENTS & GUIDELINES

Zambezi Fest operates under specific trading requirements to ensure a safe, professional, and well-organised event. These include, but are not limited to:

• Approved stall sizes and layouts
• Designated set-up and breakdown schedules
• Approval of products to be sold

Stallholders are responsible for ensuring that all equipment, displays, and documentation meet the required standards.

STALL PRICING & INCLUSIONS

This year we have increased the footprint of the stalls to either 4m x 4m or 8m x 4m as per the prices below. Prices for the pitch exclude an electric hookup which can be booked on the application form.

4m x 4m Stall - £130.00
Includes 2 x Adult Full Weekend Festival Tickets (including camping)

8m x 4m Stall - £260.00
Includes 4 x Adult Full Weekend Festival Tickets (including camping)

Stall Electric Hookup - £75.00

Please note that tickets for additional staff or family members must be purchased separately.

STALL ALLOCATION

All stall placements are determined solely by the festival organisers. While trader preferences will be considered where possible, final positioning is based on site logistics, crowd flow, safety considerations, and overall festival layout.

CONFIRMATION & PAYMENT

Successful applicants will be contacted with further details, including a secure link to finalise their booking and complete payment.

Stall bookings are only confirmed once payment has been received in full.

FINAL NOTES FOR STALLHOLDERS

The success of last year’s festival has set a high standard for Zambezi Fest 2026. We are committed to building on this momentum by providing a vibrant marketplace, strong footfall, and an atmosphere that encourages browsing, engagement, and sales throughout the weekend.

ZAMBEZI FEST 2026
ARTS, CRAFTS & RETAIL STALLHOLDER TERMS & CONDITIONS

These Terms & Conditions apply to all non-food stallholders operating at Zambezi Fest 2026. By booking a stall, you agree to comply fully with the requirements outlined below.

1. Trading Days & Operating Requirements

1.1 All stallholders must be fully set up and ready to trade by 10:00am on Friday 28th August 2026.

1.2 Festival opening times to the public are as follows:
Friday: 12:00pm onwards
Saturday & Sunday: From 9:00am

1.3 Stallholders are required to operate on all three festival days.

1.4 Once the festival opens to the public, vehicle movement within the venue will be strictly restricted.

2. Set-Up, Breakdown & Site Access

2.1 Site access begins on Wednesday 26th August 2026 from 12:00pm.

2.2 All stalls must be fully set up by 10:00am on Friday 28th August 2026.

2.3 All trader vehicles must be removed from the main arena and parked in the allocated Vendor Parking Area by this time.

2.4 Stallholders must remain on-site until 11:00pm on Sunday 30th August 2026.

2.5 The site must be fully vacated by 12:00pm (midday) on Monday 31st August 2026.

2.6 All pitches must be left clean, tidy, and free from rubbish or debris.

2.7 Failure to comply may result in exclusion from future Zambezi Fest events.

3. Parking & Vehicle Movement

3.1 Dedicated parking will be provided for stallholders for the duration of the festival.

3.2 Vehicle access within the trading and festival areas will not be permitted during public opening hours, except in emergencies or with prior approval from the organisers.

4. Documentation & Compliance

All stallholders must present physical copies of required documentation upon arrival and check-in. Failure to provide documentation may result in refusal to trade.

Documentation must also be available for inspection by local authorities.

Required Documentation (Where Applicable):
• Public Liability Insurance (mandatory)
• Fire Risk Assessment
• Fire Retardancy Certificate (for tents, gazebos, or canopies)
• Risk Assessment
• PAT Testing Certificate (if requesting electrical supply)
• Health & Safety Policy (required if employing 5 or more staff)
• COSHH Assessments (if chemicals are used or stored)

5. Submission of Documents

Stallholders are encouraged to submit all documentation with their initial application.

6. Waste Management

6.1 All stallholders are responsible for managing and removing their own waste.

6.2 Waste must be securely bagged and must not be left on site or placed in public bins.

6.3 Failure to comply may result in removal from the festival and exclusion from future events.

7. General Trading Terms

7.1 The organisers reserve the right to request removal of any products deemed inappropriate, unsafe, or not approved.

7.2 Stallholders must display their Stall Holder Confirmation Email at all times.

7.3 Unauthorised trading is strictly prohibited.

7.4 Zambezi Fest does not provide tables, gazebos, fixtures, fittings, or electrical supply unless pre-booked.

7.5 The sale or distribution of political material is strictly prohibited.

8. Right of Admission

The Zambezi Fest Organisers reserve the right to refuse admission at their discretion.
