ZAMBEZI FEST ’25
TERMS & CONDITIONS OF ENTRY
Welcome to Zambezi Fest, and thank you for being part of this exciting event! To ensure everyone has a safe and enjoyable experience, please read and adhere to the following Terms and Conditions. By purchasing a ticket and attending the festival, you agree to these terms.
1. Ticketing
1.1 Ticket Types
- Zambezi Fest tickets are available as Full Weekend, Short Weekend, or Day Passes. Each ticket is valid only for the date(s) and times specified on your booking confirmation.
1.2 Non-Refundable and Non-Transferable
- All ticket sales for Zambezi Fest are final. Tickets cannot be refunded, exchanged, or transferred, except in cases of event cancellation by the organisers.
1.3 E-Tickets and Admission
- Upon purchase, you will receive an email confirmation. You must present this confirmation (printed or digital) at the gate to gain entry. Wristbands will be issued in exchange for valid tickets and must be worn at all times.
1.4 Resale Prohibited
- Tickets purchased through unauthorised third-party vendors or resold without permission may be invalid, resulting in denied entry to Zambezi Fest.
1.5 Day Ticket Restrictions
- Day Ticket holders must vacate the festival site by the closing time indicated on the ticket. Failure to comply may result in removal from the event premises.
2. Camping, Motor Home, and Caravan Pitches
2.1 Booking Requirements
- Camping, motorhome, and caravan pitches are included with the Full Weekend and Short Weekend tickets. The pitches are provided without electric hook-ups unless booked whilst purchasing the above tickets.
2.2 Designated Camping Areas
- The site is divided into separate areas for:
- Caravans and Motor Homes
- Tent Camping
2.3 Facilities Provided
- Camping facilities include:
- Toilets and mobile shower blocks, separate from the main festival facilities.
- Access to an Elsan Point for black water disposal for motorhomes and caravans.
2.4 Arrival and Departure

Full Weekend ticket holders may arrive from 12.00pm on Thursday 21st August 2025 and must vacate the site by 12.00pm on Monday the 25th August 2025. Late departures may incur additional charges or result in removal.
- Short Weekend ticket holders may arrive from 9.00am on Saturday 23rd August 2025 and must vacate the site by 12.00pm on the 25th August 2025. Late departures may incur additional charges or result in removal.
2.5 Noise and Behaviour
- Strict quiet hours are in effect and will be enforced from 11.00pm to 8.00am. Attendees are expected to be respectful of fellow campers and local residents, avoiding excessive noise or disruptive behaviour. Failure to comply with this will result in removal from the festival without a refund and barring from future festivals.
2.6 Fire Safety
- Open fires are strictly prohibited. Only approved gas or charcoal braais are permitted. Attendees using cooking equipment must ensure it is safe and positioned away from tents or vehicles.
2.7 Vehicle Rules
- A maximum speed limit of 10MPH is in force throughout the site.
- Vehicles must remain parked within the designated pitch and or parking area and may not be driven around the campsite. Once parked, vehicle movements are restricted to ensure the safety of attendees and staff on the site.
- Day Ticket holders will be parked away from the camping, caravan and motorhome sites and are not permitted onto the camping, caravan and motorhome areas.
2.8 Prohibited Items
- The following are not permitted in the camping areas:
- Fireworks, flares, or other explosive items
- Generators (unless pre-approved by the organisers)
- Glass containers or items
2.9 Waste Management
- Campers are required to leave their pitch clean and dispose of rubbish in the designated bins provided. Please ensure black water and grey water are disposed of at the Elsan Point only.
2.10 Liability
- The organisers are not responsible for any damage, theft, or loss of property in the camping areas. Personal property is brought to the festival at the camper’s own risk.
3. Health and Safety
3.1 Attendance at Own Risk
- By attending Zambezi Fest, you acknowledge that you do so at your own risk. The organisers will not be held responsible for any injury, illness, or property damage unless caused directly by their negligence.
3.2 Medical Emergencies
- In a medical emergency please advise a member of staff as soon as possible and the required assistance will be arranged for you.

3.3 Food Allergies
- If you have any food allergies, it is your responsibility to advise stall holders selling food and food products of such allergies prior to purchasing any items.
3.3 Drones
- The operation of drones anywhere over the event site is STRICTLY PROHIBITED.
3.4 Noise Levels
- Amplified music at Zambezi Fest may exceed safe sound levels. Attendees are strongly encouraged to use ear protection, particularly for children or those sensitive to loud noise.
3.5 Prohibited Items
- The following items are prohibited on the festival grounds:
- Firearms, weapons, illegal substances, or explosives
- Drones or other unmanned aerial devices
- Open flames (except for approved gas or charcoal braais)
3.6 Smoking and Vaping
- Smoking, including vaping, is allowed only in designated outdoor areas. Smoking is strictly prohibited in enclosed spaces, tents, and marquees.
3.7 Weather Preparedness
- Zambezi Fest is an outdoor event. Attendees are responsible for preparing for all weather conditions, such as bringing rain gear or sun protection.
3.8 Security Measures
- Bag checks and personal searches may be conducted upon entry for security purposes. Attendees who refuse these checks may be denied admission.
4. Code of Conduct
4.1 Responsible Behaviour
- All attendees are expected to act responsibly and respectfully towards others, including staff, performers, and fellow guests. Aggressive or disruptive behaviour will not be tolerated.
4.2 Alcohol and Drugs
- Alcohol, glass containers and glass bottles are not permitted to be brought into the main event arena. Any attendee found violating this policy will be removed from the site without a refund.

4.3 Minors
- Attendees under the age of 18 must be accompanied by a responsible adult at all times. Proof of age may be required for alcohol purchases or ticket types with age restrictions.
5. Event Policies
5.1 Right to Admission
- The organisers reserve the right to refuse entry or remove any attendee from Zambezi Fest without refund for reasons including:
- Breach of the Terms and Conditions
- Public safety concerns or unacceptable behaviour
5.2 Event Schedule and Line-up
- The organisers reserve the right to alter the festival schedule, line-up, or facilities without prior notice. Such changes will not entitle attendees to a refund.
5.3 Photography and Recording
- By attending Zambezi Fest, you consent to being filmed or photographed for promotional purposes. This includes use in marketing materials, social media, and media coverage.
6. Liability
6.1 Personal Property
- The organisers are not responsible for the loss, theft, or damage of personal belongings. Please ensure your property is kept secure at all times.
6.2 Limited Liability
- The organisers are not liable for injury, illness, or property damage except where directly caused by proven negligence. This does not affect your statutory rights.
7. Force Majeure
In the event of cancellation due to circumstances beyond the organisers’ control, such as extreme weather, natural disasters, or government restrictions, Zambezi Fest will not be held liable for refunds. Any alternative arrangements, such as rescheduling, will be communicated promptly.
8. General Information
8.1 Elsan Points and Waste Disposal
- Facilities for safe disposal of grey and black water waste are available on-site. Please dispose of waste responsibly to maintain a clean and enjoyable festival environment.
8.2 Special Effects and Hazards
- Performances may include strobe lighting, pyrotechnics, smoke effects, and lasers. Please take necessary precautions if you have medical conditions affected by these effects.
8.3 Dogs
- Dogs are permitted in the main festival arena, camping, motorhome, and caravan areas.
- Dogs must remain on a lead at all times and must not be left unattended. Owners are responsible for cleaning up after their pets on the site.

The organisers of Zambezi Fest reserve the right to amend these Terms and Conditions at any time to ensure the safety and enjoyment of all attendees.
